Schedule: 20 hours per week, Monday–Thursday, 10:00 AM–3:00 PM
Salary: $22–$24 per hour

We are seeking a reliable, organized, and personable Receptionist – Administrative Assistant to join our local community outreach organization. This position combines front-desk reception with day-to-day administrative and office support.
The ideal candidate is professional, detail-oriented, comfortable multitasking, and able to take initiative while working independently. This person will help keep the office running smoothly by supporting staff, coordinating schedules, communicating with vendors and community members, maintaining records, and assisting with the daily operations of our programs.
Key Responsibilities
  • Serve as the welcoming first point of contact for the organization, greeting visitors, answering and directing phone calls, and responding to general email inquiries.
  • Provide day-to-day administrative support to staff and leadership, including data entry, filing, preparing documents, maintaining records, and organizing office materials.
  • Manage calendars and assist with scheduling internal meetings, client appointments, volunteer activities, and community programs.
  • Coordinate general office needs, including ordering and organizing supplies, maintaining inventory, and ensuring the office remains organized and well-stocked.
  • Serve as a point of contact for vendors and service providers, communicating service needs, following up on requests, coordinating deliveries, and maintaining basic vendor records.
  • Assist with food pantry administrative operations, including scheduling food pantry appointments, communicating with pantry staff, and maintaining the pantry appointment calendar.
  • Assist with Medical Gemach requests, including receiving and coordinating requests, communicating with clients as needed, locating and preparing requested medical equipment or supplies, and ensuring requests are properly fulfilled.
  • Assist with special projects, events, mailings, and other administrative tasks as needed.
  • Receive, organize, and stock office and pantry supplies and donations, including occasional lifting and moving of items weighing up to 20 lbs.
  • Provide general operational support and help ensure that daily office functions run efficiently and professionally.
Qualifications
  • Previous experience in administrative support, office coordination, reception, customer service, or a similar role.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent verbal and written communication skills, with a warm and professional demeanor.
  • Strong computer skills and proficiency with Microsoft Word, Outlook, Excel, Google Workspace, and other standard office systems.
  • Ability to manage multiple priorities, stay organized, and follow through on tasks in a busy environment.
  • Ability to work independently, take initiative, and recognize what needs to be done without constant direction.
  • Professional, dependable, friendly, and service-oriented.
  • Ability to comfortably lift and move up to 20 lbs. as needed for office and pantry operations.
  • High school diploma or equivalent required; prior experience in a nonprofit or community-based organization is a plus.
