Job Title: Division Manager, Sales & Operations Manager

About the Role
We're looking for a Senior-level and highly organized Division Manager to oversee Sales & Operations and serve as the connective tissue between our sales team and operations/fulfillment team. This role is central to a wholesale business selling children's products and gifts, including plush toys, to retail accounts, gift shops, specialty stores, and major national accounts. You'll manage order flow  to delivery, keep multiple stakeholders aligned, and make sure nothing falls through the cracks 

Key Responsibilities

Sales 

  • Liaise with sales reps and account executives to confirm order details, pricing, terms, and ship dates
  • Maintain and update customer account records, pricing tiers, and terms in the system
  • Track sample requests and ensure timely fulfillment to reps and buyers

Operations Coordination

  • Communicate order status, backorders, and ship date changes between sales and warehouse/logistics teams
  • Coordinate with production/supply chain on inventory availability and incoming container/shipment timing
  • Monitor open order reports and proactively flag at-risk orders (late shipments, allocation issues, credit holds)
  • Work with the warehouse/3PL on pick/pack/ship priorities, routing guides, and retailer compliance requirements (EDI, chargebacks, vendor manuals)
  • Assist with EDI order processing and troubleshooting for major retail accounts

Cross-Functional Communication

  • Serve as the single point of contact, resolving discrepancies between what sales promises and what operations can deliver
  • Prepare and distribute regular reports: open orders, fill rates, backorder status, ship date changes
  • Flag inventory shortages or overages to the sales team to inform selling priorities
  • Support finance/credit team with order holds, deduction research, and chargeback documentation

Qualifications

  • 2+ years in wholesale, sales support, order management, or operations coordination goods industry strongly preferred)
  • Extremely detail-oriented with proven ability to manage many moving parts simultaneously
  • Proficient in ERP/order management systems (e.g., NetSuite, SPS Commerce, Fishbowl, or similar) and advanced Excel
  • Experience with EDI and major retailer compliance (Target, Walmart, Buy Buy Baby-type accounts, specialty gift distributors) a plus
  • Strong written and verbal communication skills — comfortable being the "translator" between sales-speak and ops-speak
  • Ability to prioritize under pressure, especially during peak seasonal order volume
