Administrative Assistant
Location: Brooklyn, NY
Employment Type: Full-Time
Schedule: Monday through Friday – Standard Business Hours

We are seeking a highly organized and detail-oriented Administrative Assistant to support billing operations, client communications, and database management. This role is ideal for someone who enjoys working with numbers, maintaining accurate records, and providing excellent client service while managing multiple responsibilities in a fast-paced office environment.
The ideal candidate is dependable, proactive, and able to work independently while maintaining a high level of accuracy and professionalism.
Responsibilities Billing & Client Support• Serve as the primary point of contact for client billing inquiries and related issues
• Collect and organize billing information from clients and internal sources
• Process and submit bills accurately and efficiently
• Generate and distribute monthly client statements
• Maintain professional communication with clients regarding billing matters
• Enter billing information and financial data into internal database systems
• Maintain accurate and up-to-date client records
• Monitor and update databases to ensure data integrity and accuracy
• Assist with recordkeeping and documentation management
• Process bill payments and track payment activity
• Perform monthly reconciliations across multiple databases and systems
• Identify discrepancies and work to resolve issues promptly
• Assist with reporting and account maintenance as needed
• Strong attention to detail and commitment to accuracy
• Excellent organizational and time-management skills
• Ability to work independently and take ownership of assigned tasks
• Strong multitasking abilities and ability to meet deadlines
• Excellent verbal and written communication skills
• Strong interpersonal skills and ability to work effectively with clients and team members
