Position Summary
We are seeking a highly organized and dependable Administrative Assistant to support our building management operations. This role is ideal for someone with real estate or property management experience who is comfortable handling administrative responsibilities, tenant communications, collections, and arrears management.
The ideal candidate is detail-oriented, proactive, and able to manage multiple priorities while providing excellent customer service.
Key Responsibilities
- Provide administrative support for day-to-day building management operations.
- Assist with collections, outstanding balances, and arrears follow-up.
- Communicate professionally with tenants regarding account inquiries, payments, and lease-related matters.
- Maintain accurate tenant records, payment histories, and documentation.
- Coordinate maintenance requests and communicate with vendors as needed.
- Prepare correspondence, notices, and other administrative documents.
- Answer phones, respond to emails, and assist with general office operations.
- Perform data entry, filing, and recordkeeping with a high level of accuracy.
- Support management with additional administrative and operational tasks as needed.
Qualifications
- Previous administrative experience required.
- Real estate or property management experience strongly preferred.
- Experience with collections, accounts receivable, or arrears management is a plus.
- Excellent organizational and time management skills.
- Strong communication and customer service abilities.
- Proficiency in Microsoft Office, including Word and Excel.
- Ability to multitask and work independently in a fast-paced environment.
- Professional, reliable, and detail-oriented.
